Getting started with Auto replenishment

Learn how to setup Weavo to send automatic orders to you as a supplier from your resellers.

In this guide you will learn how to get up and running with auto replenishment for a reseller from just having signed up with Weavo.
If you are not going to use Weavo for the auto order, but instead plan to use your own system, then head on to this article where you will learn how to setup Weavo in a "sales and inventory sharing mode".

Prerequisites

  • A user account for Weavo Supplier Dashboard

  • The reseller you are setting up for auto replenishment has accepted to share inventory and sales data with you

  • How to send orders to you are setup together with Weavo support team.

    • FTP, API or Email

    • File formats (Edi, Excel, Csv, XML, Json, etc)

Setup Articles for auto replenishment

  1. Agree with your reseller what articles to be included for auto replenishment.

  2. Goto Auto replenishment > Setup

  3. Select the reseller from the list

  4. If reseller has multiple stores, make sure to select the relevant location
    ​

  5. Scroll down and press Add article button.
    ​Alternatively, if you have an Excel file ready with the columns, GTIN, MIN and MAX then you can go ahead and upload it.
    ​

  6. Search for the article by name, number, variant, color, brand or a combination.
    ​

  7. Select the size(s) / variant(s) and enter the min and max for each.
    Then click Add selected.
    ​

  8. When you have added all articles, close the window.
    ​

  9. Now you will see the current articles which is setup for Auto replenishment for the given retails store location.
    If the user has multiple locations, then repeat this process for each of them.
    ​

Min
The lowest acceptable inventory at the reseller before adding the item to an order.

Max
The maximum to order this item up to.

Review basket

Now that you have setup articles to be included in auto replenishment,
you can review the status of the basket(s) to see if your setup will trigger an order ,
or how close the reseller is to trigger an auto replenishment order.

​In this example you see that the minimum units is set to 10 and currently only 5 items are in basket, which means 5 more items need to be added to basket before the new auto replenishment order will be sent.

In the below example, there are 12 items in basket, which means an order will be trigged as soon as the auto replenishment is activated.
The cost is estimated (before any discounts) to 9768 kr.

Final step - Activate

Now, under Auto replenishment setup, click Activate.
The order(s) will be sent within a couple of hours.
Currently Weavo sends auto orders at 7 CET and 16 CET every day.
